Exhibitor Participation Guidelines

The following guidelines outline the key participation requirements for exhibitors at The Drink Show.

All exhibitor booths are provided on a space-only basis. This approach allows exhibitors to keep costs to a minimum while providing the flexibility to create a display that best represents their brand.

1. Booth Allocation

✔ Booth allocation is confirmed in writing.

✔ Final booth placement is at the discretion of the organiser.

✔ While location requests are considered wherever possible, they cannot be guaranteed.

2. Payment Terms

✔ Invoices are payable by the due date specified.

✔ Booth space is not confirmed until payment has been received.

✔ All payments are non-refundable in accordance with the Terms & Conditions.

✔ Unpaid booths may be released and reallocated without notice.

3. Tasting Compliance

All tastings must comply with the event format, Responsible Service of Alcohol (RSA) requirements and venue licence conditions.

✔ Small tasting samples only.

✔ Full serves of alcohol are not permitted.

✔ All alcohol service must be RSA compliant.

✔ The Drink Show does not operate a voucher or token tasting system.

4. Exhibitor Responsibilities

Each exhibitor is responsible for supplying and managing their own booth, including:

✔ Display furniture and promotional materials.

✔ Product stock and tasting cups.

✔ Ice and insulated storage (please bring an esky or cooler—additional ice can be purchased locally if required).

✔ Point of Sale (POS) system for product sales.

✔ Extension leads and electrical equipment (all items connected to venue power must be current test and tagged).

✔ A safe, clean and professional booth presentation.

✔ RSA-certified staff serving alcoholic beverages.

Helpful Suggestions

a.) Tasting Cups

Paper or plastic tasting cups are available from Officeworks, Woolworths, Coles or online suppliers such as BioPak.

b.) Tables

Standard trestle tables are available from retailers such as Bunnings if required.

5. The Organiser Provides

✔ Venue hire.

✔ Event management and coordination.

✔ Security and event staff.

✔ Waste removal and general cleaning.

✔ Consumer and trade marketing campaigns.

✔ Trade visitor invitations and industry outreach.

✔ Floorplan design and exhibitor coordination.

6. Trade Preview

The dedicated Trade Preview runs from 1:00 pm to 1:30 pm, providing exhibitors with the opportunity to meet hospitality professionals, retailers, buyers, distributors, media and other industry guests before general admission begins.

Trade visitors are welcome to remain at the event until 5:00 pm.

We recommend having the following available during the Trade Preview:

✔ Wholesale or trade pricing.

✔ Product information sheets.

✔ Distributor or portfolio information.

✔ Business cards.

✔ Order forms or a digital lead capture system.

7. Promotional Contribution

Exhibitors are encouraged to donate one bottle or product for event promotions and prize giveaways.

Please deliver your donation to the Organiser's Desk during bump-in.

8. Final Event Information

Confirmed exhibitors will receive a comprehensive pre-event information pack, including:

✔ Bump-in and bump-out schedule.

✔ Venue access and parking information.

✔ Final event guidelines.

✔ Exhibitor procedures.

✔ Emergency and organiser contact details.
